Privacy Policy

Tradellen ("Tradellen," "we," "us," or "our") provides an all-in-one field service management platform for field service businesses, including home service, commercial service, mobile repair, and truck and trailer repair operations — including scheduling, dispatch, estimates, invoices, payments, customer management, and automated call handling. This Privacy Policy explains how Tradellen collects, uses, stores, shares, and protects information when businesses and their authorized users use the Tradellen platform, and the choices you have.
This Privacy Policy is a notice, not a contract. When creating an account, users agree to the Terms of Service and acknowledge this Privacy Policy through the signup process.
1. Who this policy covers
Tradellen serves two groups: business customers (the field service companies who subscribe to Tradellen) and the end customers of those businesses (the callers and clients whose information a business processes through Tradellen). Each business is the data controller of its own customer records; Tradellen processes that data on the business's behalf.
2. Information we collect
Account & business information
- Your name, business name, email address, phone number, trade, business hours, and service area.
- Billing details processed by our payment provider (we do not store full card numbers).
Operational data you create or import
- Call records and AI-generated call summaries, appointments, customers, estimates, invoices, jobs, team members, and messages.
- Phone recordings and transcripts produced by your AI receptionist (with the disclosure your callers hear at the start of each call).
Technical data
- Log data, IP address, device/browser information, and basic usage analytics needed to operate and secure the service.
3. Technician location data
If a business chooses to use live technician tracking, field technicians can share their location with their own company so the office can coordinate dispatch. This feature is opt-in and consent-based, is limited to operational use, and is never used to surveil staff off the clock.
Sharing is started by the technician, on their own device. A technician explicitly begins sharing from a secure link, and the first time they enable it we store a consent record — the timestamp, the device/user-agent, and the IP address — so there is a clear record that sharing was turned on with consent.
What we collect and why
- What: latitude, longitude, accuracy, and a timestamp, along with the technician's shift/availability status.
- Why: to show the office or dispatcher where field technicians are for live dispatch, estimated arrival times (ETAs), and job status. It is operational, not surveillance.
- How often: updates are battery-aware — roughly every 20 to 120 seconds — and only while a shift is active and the technician is actively sharing.
Staying in control
- A technician can stop sharing at any time. When they end their shift and we receive that action, we stop accepting further location from them and clear their current live location. Off-duty technicians are not tracked: once sharing is stopped, new location updates are refused until the technician consents again.
- A deactivated technician cannot share location, and their sharing link stops working.
Retention and access
- Retention: location history is kept only for operational field-service and dispatch purposes, and is subject to Tradellen's operational retention and deletion controls described below.
- While a technician is actively sharing location, ping history older than three days is removed as part of routine processing of their location updates.
- If a technician stops sharing — for example they end their shift, their device goes offline, or they leave the business — their existing location history may be retained beyond three days until it is removed by account deletion, a deletion request, or a future scheduled cleanup. We do not currently run an automated schedule that deletes location history on a fixed timetable regardless of activity.
- Planned: we are building an approximately three-day automated retention schedule that will apply whether or not a technician is still sharing. It is not active yet, and this policy will be updated when it is.
- Live location display: the most recent location is kept so the office can see where a technician is during a shift. When a technician ends their shift and we receive that action, their current live location is cleared. If we never receive an end-of-shift action — for example the device loses power or connectivity — the last known location may remain stored until it is removed under the controls above. Locations that are no longer fresh are shown to the office as stale or offline rather than as a current position.
- Access: location is visible only to the technician's own company — their authenticated account and dispatchers — and each company's data is isolated to its own account. Exact technician coordinates are never shown to customers.
- Export & deletion: location data is included in the business's account data export, and is removed when the account's data is deleted.
4. Google user data
Limited Use disclosure. Tradellen's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data, do not use it for advertising, and do not allow humans to read it except where you explicitly request support, where required for security or to comply with the law, or in aggregated/anonymized form for internal operations.
If you choose to connect your Google account, Tradellen requests only the scopes needed for the features you enable:
- Google Calendar — to create and update appointment events on your calendar when jobs are booked.
- Gmail (send only) — to send appointment confirmations, reminders, and customer notifications from your own connected Gmail address on your behalf. This scope cannot read, delete, or otherwise access your inbox.
- Basic profile email — to identify which Google account you connected.
You can revoke Tradellen's access at any time from your Google Account permissions page, or by disconnecting Google in Tradellen settings. Revoking access stops further calendar and email sending through Google.
5. How we use information
- To answer calls, book jobs, and run the dashboard features you use.
- To send transactional communications (appointment confirmations, reminders, dispatch notifications, receipts) to you, your team, and your customers.
- To provide support, prevent abuse and fraud, and secure the service.
- To meet legal and accounting obligations.
We do not sell your personal information, and we do not use your operational or Google data to train third-party advertising models.
6. Service providers we share data with
We share data only with vendors that help us run Tradellen, under contracts that limit their use of it:
- Telephony & AI voice: our voice infrastructure provider and our AI model provider, to answer and summarize calls.
- Messaging & email: our SMS provider and email providers, to deliver texts and emails you trigger.
- Payments: our payment processor, to handle subscriptions and invoices.
- Hosting & storage: our cloud hosting and database providers.
- Optional integrations you connect, such as Google and QuickBooks.
7. Text messaging (SMS) and consent
Tradellen sends SMS text messages on behalf of the businesses that use it. There are two kinds:
- Account messages to business owners and their staff/technicians — for example a technician's daily job schedule or a dispatch notification. These go to people who created or were added to a Tradellen account.
- Customer messages a business sends to its own customers — for example appointment confirmations, reminders, on-the-way and job-status updates, and replies. The business controls these and is responsible for having the customer's consent to be texted.
Message and data rates may apply. Message frequency varies based on your activity. You can opt out of text messages at any time by replying STOP to any message; reply HELP for help. After you reply STOP we will not send further texts unless you opt back in.
We do not sell your data, and mobile information is never shared. Phone numbers and SMS consent (mobile opt-in) data are not shared with third parties or affiliates for marketing or promotional purposes, and are not sold. We share a phone number with our SMS provider only to the extent necessary to deliver the messages you or your business have requested.
8. Data retention
We retain your account and operational data for as long as your account is active, and for a reasonable period afterward to meet legal, tax, and dispute-resolution needs. You may request export or deletion of your data as described below.
9. Security
We protect data in transit with encryption (HTTPS) and encrypt sensitive credentials, such as OAuth refresh tokens, at rest. No system is perfectly secure, but we work to safeguard your information and limit access to it.
10. Your choices & rights
- Access, correct, export, or delete your personal data by contacting us.
- Disconnect Google or other integrations at any time in settings.
- Opt out of non-essential communications.
11. Children
Tradellen is a business tool and is not directed to children under 13. We do not knowingly collect data from children.
12. Changes
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above and, where appropriate, by notice in the app.
